Most appointments can be scheduled within 2 - 7 days depending upon your availability and preferences for scheduling. To get started, first complete the online pre-appointment enrollment forms to enter your insurance information, review and sign the patient consent forms, and complete the online assessment for your provider to review prior to your first appointment. The online enrollment process takes around 10 minutes. Once completed, our team will review your information and contact you typically within an hour.
WellPsyche Medical Group is dedicated to helping those who want to improve their lives. Given the US is currently experiencing a nationwide shortage of quality behavioral health providers, missed appointments and late cancellations are lost opportunities for new and existing clients looking to improve their lives. To ensure we are meeting each of our clients' needs, all scheduling changes and cancellations must be made at least 48 hours prior to the scheduled appointment time.
If you miss your appointment, your credit card on file will be charged the applicable missed appointment fee. Your insurance company will not reimburse you or WellPsyche Medical Group for missed appointments or late cancellations. We do strive to send multiple courtesy reminders through email and text messaging, but they are just that, a courtesy. Not having received a reminder call or email does not excuse a missed appointment or a late cancellation. Additionally, please note that it is 100% the patient’s responsibility to have reliable internet connection, a workable electronic device with a camera and audio, and any applicable updates to the Zoom application or device prior to the appointment. Technical issues with your device, internet or zoom application on your device are not excusable reasons for missing your appointment. Multiple missed appointments or late cancellations may result in dismissal from the practice.
We do understand that emergencies happen. If you are requesting to waive your fee for a missed appointment or late cancellation due to an illness or emergency, we require a physician's note or documentation confirming the emergency, if applicable, for the request to be considered. Consideration for such a waiver occurs on a monthly basis and refunds or credits are not processed until that time. Requests to waive a fee that are greater than 30 days from the missed appointment or late cancellation may not be considered.
Zoom Meetings are live video conferencing, similar to Facetime, but with HD quality and medical grade security encryption. You can use your mobile phone, iPad/tablet, or computer as long as you have a reliable internet connection and video camera. You will be able to join the Zoom Meeting Room for your appointment as easy as clicking a link with in our online patient portal. Zoom Meetings can save you a lot of time by eliminating the frustration of having to drive in traffic, missing time from work or school, and allow more flexibility when scheduling your appointments.
Psychiatric medication management generally requires monthly visits with a WellPsyche prescribing provider. Your provider will review your assessment and discuss with you at your initial appointments the goals you are seeking from your psychiatric appointments. They will recommend a treatment plan for you that includes guidance on how often follow up appointments are needed. These follow up appointments are to discuss with your provider how you are feeling on your medication, determine if refills or medication changes are needed, share progress towards your goals, and any other questions you may have.
Psychotherapy appointments with a Therapist are typically scheduled on a weekly basis, but can vary based on a patient's needs. When you have your initial appointment with a Therapist, they will discuss with you a treatment plan that will work best for your goals and your schedule.
We always recommend after a frequency of visits is determined, to schedule out multiple appointments in advance through our online scheduling in the patient portal or with your provider's support team. This helps to secure a consistent recurring time spot with your Psychiatrist or Therapist.

All prescription refills are sent during an appointment with a prescribing provider. This ensures personalized care that helps support your progress towards your mental health and wellness goals. We encourage all patients to promptly schedule their next appointment after completing an appointment so you have ample time to obtain your prescription refills. You can even schedule out multiple appointments at one time through our online scheduling in the patient portal or with your provider's support team to help secure a consistent time spot on your provider's schedule. In the event that your provider is not available for an appointment, you are welcome to schedule an appointment with one of the covering providers within the WellPsyche Medical Group. The covering provider will have access to all of your clinical notes, care plan history and prescriptions so they can continue to provide you with great care and refill your prescriptions if needed. Should you have any prescription or pharmacy related questions, you can contact your provider or their support team through the online patient portal, by emailing rxsupport@wellpsyche.com, or calling 310-871-0670.
Once we receive notification from your pharmacy that a Prior Authorization is required, we will submit the necessary paperwork to your insurance company. Approval of the Prior Authorization depends on your insurance company. Most are approved same day, but it may take up to 2 weeks. Our Prescription Support team will notify you on the status of your request and are available to answer any questions you may have.
If you are planning to be out of town over the time that your prescription will need to be refilled, please notify your provider during your visit, or through the patient portal as soon as you are aware of an urgent need to go out of town, so they can make appropriate recommendations or arrangements for you. Please note that providers are not allowed to see patients who are residing outside of the state of residence or send prescriptions to out of state pharmacies, even through telehealth.
Prescribed medications are electronically submitted to the pharmacy by your provider. Most pharmacies will contact you when your medication is ready for pick-up. If you do not receive notification from the pharmacy that your medication is ready, please contact them first to determine why there is a delay in filling your prescription. If there are further questions or concerns about your prescriptions, please notify us by one of the following methods:
If you'd like to change your pharmacy, please let your provider know at the time your appointment.
WellPsyche offers convenient appointment times in the morning, afternoons, or evenings, seven days per week. Prescription refills are only available during an appointment with a prescribing provider. We are committed to providing high quality care to help ensure you are obtaining your desired mental health and wellness results with your medications, and monitor for any adverse reactions or dosage changes that may be needed. If you are in need of a refill, please log in to our online patient portal and schedule an appointment with your provider or a covering provider. In the rare event that an appointment time is not available before you run out of medications, please call the scheduling team at 310-871-0670 for assistance.
